SideCoach Manager - how we collect, use, and protect your information

SideCoach, Inc. ("SideCoach," "we," "our," or "us") operates the SideCoach Manager platform (the "Platform"), which parents and guardians use to register children for and manage youth sports camps and programs. This Privacy Policy explains what personal information we collect, how we use and share it, and the choices and rights you have.

Because our Platform is used to register children, we take children's privacy seriously. Please read Section 1 (Children's Privacy) carefully - it explains our practices under the Children's Online Privacy Protection Act ("COPPA").

Camps and programs are operated by the universities and organizations that host them, and coaches on our marketplace are independent. Those parties have their own privacy practices; this Policy covers only SideCoach's handling of your information.

1. Children's Privacy (COPPA)

Our Platform is designed to be used by a parent or legal guardian (18 or older) who registers a child. We collect personal information about children only as part of that registration, and only with verifiable parental consent, which we obtain through the registration and payment process completed by the parent or guardian.

  • What we collect about a child: the information the parent provides to register - typically the participant's name and graduation year.
  • How we use it: only to provide the camp registration and related services described in this Policy. We do not require a child to disclose more information than is reasonably necessary to participate.
  • No sale; no targeted ads to children: we do not sell children's personal information, and we do not use it for targeted or behavioral advertising directed at children.
  • Directed to the parent; marketing is separate and on by default (opt-out): any communications about camps, lessons, or related SideCoach services are directed to the parent or guardian, never to the child. Registering and paying for a camp verifies the parent and authorizes us to run that camp; it does not, by itself, authorize marketing. At registration or checkout we present two independent choices - one to hear about upcoming camps and programs, and one to hear about SideCoach's private lessons and coaching marketplace. Selecting one does not select the other, and neither is required to use the Platform. These choices are pre-selected (pre-checked) on behalf of the parent, and the parent may un-check either one to opt out before completing registration. The parent may withdraw either consent at any time without affecting the other.

Parental rights. As a parent or guardian, you may at any time review the personal information we have collected about your child, request that we delete it, and refuse to allow further collection or use of it. To exercise these rights, contact us at privacy@sidecoach.com. We may need to verify your identity before acting on your request.

2. Information We Collect

Information you provide.

  • Participant information: name, date of birth and graduation year.
  • Parent/guardian information: name, physical address, email address, and phone number.
  • Account and registration details: the camps or programs you select and any information you enter during registration.
  • Communications: messages you send us or send through the Platform.

Payment information. Payments are processed by our third-party payment processor (e.g., Stripe). We do not store full payment-card numbers; the processor handles card data under its own security and privacy terms.

Information collected automatically. When you use the Platform, we may collect limited device and usage information (such as IP address, browser type, and pages viewed) through cookies and similar technologies, as described in Section 7.

Information from others. Where applicable, a hosting university or camp operator may share limited information with us to set up or manage a camp you register for.

3. How We Use Information

We use personal information to:

  • Operate the Platform and process registrations and payments.
  • Connect participants with the camps they register for and, where a family chooses to use it, with coaches on the SideCoach Manager marketplace.
  • Communicate about registrations and camps, and - with the parent's consent - about related SideCoach services.
  • Maintain the safety and security of the Platform and prevent fraud or misuse.
  • Operate, analyze, and improve the Platform, including through aggregated or de-identified data that does not identify any individual.
  • Comply with our legal obligations.

4. How We Share Information

We share personal information only as described here:

  • With camp operators and universities, to run the camp or program you registered for.
  • With coaches on the marketplace, when a family chooses to connect with a coach, to provide that service.
  • With service providers that support our operations - such as payment processing (Stripe), hosting, email and communications, and analytics - who are permitted to use the information only to provide services to us.
  • For legal and safety reasons, when we believe disclosure is required by law or necessary to protect the rights, safety, or property of any person.
  • With advertising and analytics partners, on our general website only (never within the child-registration flow), we allow analytics and advertising technologies that may receive online identifiers and usage data. Depending on your state, this may be considered a "sale" or "share" for targeted advertising, and you can opt out (see Sections 6 and 7).
  • In a business transfer, such as a merger, acquisition, or sale of assets, subject to equivalent privacy protections.

We do not exchange your personal information for money. Because we use analytics and advertising technologies on our general website, some state laws may treat that activity as a "sale" or "share" even though no money changes hands; where that is the case, you can opt out as described in Sections 6 and 7. We do not sell or "share" children's personal information, and we do not sell or "share" the personal information of any minor for cross-context behavioral advertising. We do not deploy advertising or marketing technologies within the child-registration flow.

5. Your Choices

  • Marketing communications: you can opt out of marketing emails at any time using the unsubscribe link in the message or by contacting us. We may still send you transactional messages about your registrations.
  • Access and correction: you can review or update your account information, or contact us for help.

6. Your Privacy Rights (State Laws)

Depending on where you live (including California, Virginia, Colorado, Connecticut, Texas, and other states with comprehensive privacy laws), you may have some or all of the following rights, subject to legal exceptions:

  • Access / know the categories and specific pieces of personal information we have collected, and how we use and share it;
  • Correct inaccurate personal information;
  • Delete personal information we have collected, subject to exceptions;
  • Data portability - a copy of your personal information in a portable format;
  • Opt out of "sale" or "share" / targeted advertising - direct us not to sell or share your personal information or use it for targeted advertising;
  • Limit sensitive information - where applicable, limit our use of sensitive personal information to permitted purposes;
  • Opt out of profiling in furtherance of decisions producing legal or similarly significant effects, where applicable;
  • Non-discrimination - we will not discriminate against you for exercising these rights;
  • Appeal a decision on your request, where your state provides that right.

How to exercise your rights. Submit a request by contacting us at privacy@sidecoach.com. We will verify your request, respond within the timeframe your state's law requires, and may ask for information to confirm your identity. You may use an authorized agent where the law permits, and we will not discriminate against you for exercising your rights.

"Do Not Sell or Share My Personal Information." Because we use analytics and advertising technologies on our general website, some states treat this as a "sale" or "share." To opt out, use the "Do Not Sell or Share My Personal Information" link on our website or contact us, and we will honor recognized opt-out preference signals (such as the Global Privacy Control) where required by law. We do not sell or share the personal information of minors, and we do not sell or share children's information collected in the registration flow.

California notice. California residents may request the categories of personal information we collect, the purposes for collecting it, the categories of sources, and the categories of third parties to whom we disclose it, as summarized in Sections 2, 3, and 4, in addition to the rights listed above under the CCPA/CPRA.

Marketing choices for California, Colorado, and Connecticut residents. If you are a resident of California, Colorado, or Connecticut, the email-marketing choices described in Section 15 of the Terms of Service are presented to you unchecked, and we will send you marketing email only if you affirmatively opt in.

7. Cookies & Similar Technologies

We use cookies and similar technologies to operate the Platform, keep you signed in, remember preferences, and understand how the Platform is used. On our general website, we and our partners also use analytics and advertising technologies (such as analytics and marketing pixels) that may collect online identifiers and browsing activity; depending on your state, this may be treated as a "sale" or "share." You can opt out as described in Sections 5 and 6, and we honor recognized opt-out preference signals (such as the Global Privacy Control) where required by law. We do not deploy advertising or marketing technologies on pages used to register a child or otherwise within the child-registration flow. You can control cookies through your browser settings, though some features may not work without them.

8. Data Retention

We keep personal information only as long as needed for the purposes described in this Policy or as required by law, and then delete or de-identify it. Parents and guardians may request deletion of a child's personal information at any time (see Section 1).

9. Security

We maintain commercially reasonable administrative, technical, and physical safeguards - including encryption in transit and at rest, access controls, and monitoring - to protect personal information. No method of transmission or storage is completely secure, but we work to protect your information and will respond to any security incident in accordance with our incident-response procedures and applicable law.

10. Third-Party Services & Links

The Platform integrates with, or may link to, third-party services (such as payment processors, camp operators, and coaches). Those parties are responsible for their own privacy practices, and we encourage you to review their policies.

11. Who May Use the Platform

The Platform is intended for use by parents and guardians who are 18 or older and are registering participants. Children should not create accounts or provide information to us directly; registration is completed by a parent or guardian.

12. Changes to This Policy

We may update this Policy from time to time. We will post the updated version with a new "Last updated" date and, where a change materially affects our collection or use of children's personal information, we will obtain new parental consent where required by law.
